Terms and Conditions
By booking and/or using Walcot Dog Fields (WDF) you agree to the following terms and conditions which shall form part of the contract between Walcot Dog Fields and you.
Definitions:
‘WDF/ Walcot Dog Fields/ we/ us’means Aura Associates, trading as Walcot Dog Fields Limited, Walcot Estate, Barnack, Stamford, PE9 3EU.
‘You’ means you, the person who has booked the Dog Field, and all further parties you bring along with you to your booking.
1.1 Number of dogs allowed per session
When you book your session you have stipulated the number of dogs you will have in the fields at any one time. If you do not abide by this limit, then you can be asked to leave the field without being offered a refund or the opportunity to reschedule your booking. If this happens on multiple occasions you will be blocked from using any field in the future.
1.2 Duration of booking and buffer period
1.2.1 When you book your session you are then responsible for and must allow a 5-minute buffer period to make sure you have departed the site before the start of the next session. I.e. you must be gone before the expiry of your session.
1.2.2 If you arrive late or you are delayed when using the paddock this does not mean you can overrun into the 5-minute buffer period and beyond.
1.2.3 If WDF sees or gets reports that you are not leaving on time, we have the right to remove access to the paddocks and block you from using them in the future.
1.2.4 If the previous appointment is still in the paddock when your booking is due to start, please inform WDF immediately on 01780 740877.
1.3 Opening Times
All paddocks run in daylight hours, so these differ throughout the year. If WDF sees you using the paddock outside of these times, they have the right to remove you from the premises and call the police – this is trespassing.
1.4 Etiquette
1.4.1 Please arrive a few minutes before the start of your session. When you arrive at the fields, you must remain in your car in the waiting bays until the person before has vacated the parking area for your field.
1.4.2 You must enter the ‘air lock’ parking area and close the gate before letting your dog(s) out of your vehicle to ensure the safety of the dog(s), nearby road users and members of the public.
1.4.3 WDF have the right to withdraw your use of the paddocks for any reason they see fit.
1.4.4 Do not use equipment in wet or icy conditions as surfaces become slippery. WDF takes no responsibility for any dog that gets injured from using any of the equipment in the field.
1.4.5 This agreement does not create any rights over the land and clients hiring the field accept the Landowner and WDF maintains control and possession of the dog paddock at all times. WDF and the Landowner reserve the right to access the field while you are in the paddock.
1.4.6 Abusive behaviour towards our staff and other customers will not be tolerated, and will result in a ban from our services.
1.4.7 You agree that if you fail to perform any of the obligations outlined herewith, or perform them without due care, and we are caused a loss as a result of your act or failure to act, you will reimburse us in full for all liabilities, costs, expenses, damages which are suffered or incurred by us.
2.0 At your own risk
2.1 The fields are large outdoor spaces, they contain areas of uneven ground which could be concealed under long grass or other vegetation, has overhanging branches from trees around the edges which may fall or have fallen, may have stones on the fields and could contain other hazards consistent with the countryside.
2.1.1 Our fields do not offer any artificial lighting, therefore you should make your own provisions as necessary for this.
2.2 Use of the field(s) shall be entirely at your own risk. The Landowner/WDF accepts no liability for the death of, or injury to, any person/dog or for damage to any property. We also accept no liability for any losses, claims, actions, damages, costs/expenses or other liability incurred by you during the use of the fields or whilst on the site in general. We are not liable for business losses.
2.3 You must not seek to limit WDF or the Landowner's liability for the death or personal injury of a customer or dog caused by negligence. Notwithstanding Clause 2.2, if WDF is held liable to the customer for anything except death or personal injury, its liability will be limited up to £10 million.
2.4 You agree not to let anyone else into the paddock other than friends or family members you have brought with you to enjoy walking your dogs.
2.5 By bringing friends or family, or sending somebody in place of you, you agree that you take full responsibility for their safety and for ensuring that they abide by these terms and conditions at all times whilst using the field. WDF can restrict the number of people attending.
2.6 Any use of our agility equipment is completely at your own risk and you are totally responsible for the welfare of your children and your dog(s) at all times.
2.7 Users must report any accident, incident or injury to us immediately by emailing dogfields@walcotestate.co.uk or calling on 01780 740877
2.8 WDF requires all customers' dogs to be covered by valid third party liability insurance before using the fields.
2.9 Access to the fields is on private land, you should only use this access when you have a booking with WDF.
2.10 As the fields are located on working farms, you should be aware of this and accept any risks of entering a working farm especially if your dog was to escape or get injured and comply with any requirements of the landowners. Please be aware, due to the location being rural local farmers do use bird scarers occasionally and occasionally there will be livestock close by. Unfortunately, this is out of our control.
3.0 Child safety
3.1 You are welcome to bring your children to the field, but they must be supervised at all times, and you are responsible for making sure that they do not injure themselves or break any of these terms and conditions.
3.2 Please be aware that the field has not been made child safe, and users must respect the area and contents.
3.3 Children must not be allowed to climb the fences, gates or agility equipment and anyone under the age of 18 must be accompanied by an adult.
4.0 Fencing
4.1 Although WDF will be inspecting and maintaining the fence regularly, holes or other damage to the fence may occur from time to time due to a number of reasons including digging by dogs or other animals, falling trees or branches, and general wear and tear. If you become aware of any issue with the state of the fence, please let WDF know immediately by emailing dogfields@walcotestate.co.uk or calling on 01780 740877.
4.2 WDF aims to be a safe space where you can confidently let your dog(s) off lead without having to worry about recall/the presence of other dogs. Nevertheless, in the absence of any negligence, WDF are not responsible for your dog(s) escaping and/or leaving the paddock, or you encountering another dog(s). WDF doesn’t accept any responsibility for dogs escaping, or any damage, injury or death resulting from a dog either escaping from the field or a dog that they may encounter. You must ensure that, at all times during the use of the field, you act as a responsible dog owner.
4.3 The majority of the fence boundaries are 6 foot (or similar) in height. If your dog(s) breach these boundaries, WDF will not be held responsible. It is totally and completely your responsibility to gauge your dogs ability of escaping from these boundaries.
5.0 Parking & valuables
5.1 Vehicles are parked at owner’s risk. WDF cannot be held responsible for any accidents, damage or loss incurred to vehicles or their contents and valuables.
5.2 Please only park on the hardstanding and not outside it in any circumstance. Do not park or drive on the grass.
5.3 A maximum of 3 cars are allowed per visit.
5.4 No one is to arrive on site more than 15 minutes before their allotted time.
5.5 Please be courteous of other users of our car park area and do not block in any other car at any time.
6.0 Bookings
6.1 All bookings must be paid for in advance.
6.2 Payments are to be made via the WDF website directly, we do not accept cash payment (left at the field or otherwise).
6.3 It is possible to both cancel 24-hours prior to your session or reschedule bookings by logging into your account via the WDF website. If you are past the 24-hour cancellation period you will not be able to reschedule or get a refund for your booking. WDF will not provide a refund for sessions cancelled due to weather conditions within the 24-hour cancellation period.
6.4 WDF reserve the right, at their absolute discretion, and for any reason to amend or cancel a booking at any time before the commencement of slots; and
6.5 If WDF does amend or cancel a booking, WDF shall be entitled to offer either an alternative date and time, or a full refund; and
6.6 If WDF offers an alternative date and time, and the customer does not wish to proceed with the amended booking, WDF will provide a full refund.
7.0 Dog & owner etiquette
7.1 Etiquette in our fields
7.1.1 It is your responsibility to pick up your dog(s) poo, WDF provides poo bags and bins to make it an easy task, this also means keeping an eye on your dog to make sure you don’t miss them pooing. Spot checks do take place, if you are caught not picking up your dogs poo, WDF have the right to ask you to leave or if you are a repeat offender you will be refused access in the paddocks moving forward. Nothing other than dog waste and dog waste bags should be put in the bins e.g. no latex gloves, chewing gum, cigarettes, food etc in the dog bins.
7.1.2 Please discourage your dog from digging, this can make our fields unsecure and dangerous to others.
7.1.3 Any holes dug by your dog must be reported directly, this is for safety and security reasons. Please contact Paw Paddock by emailing dogfields@walcotestate.co.uk or calling on 01780 740877.
7.1.4 Users must ensure the water hose is not left running after use.
7.1.5 Do not drop litter or leave toys or uneaten treats in the field or in the shelter. Dogs may swallow them and become ill so take everything home with you at the end of your session. Also, this makes for a lovely clean environment for all the dog walking community.
7.1.6 WDF take no responsibility for any dog that gets unwell or dies from anything ingested or encounters at any paddock. We also accept no liability for any costs/expenses or other liability incurred by you during the use of the field.
7.1.7 No smoking anywhere on site.
7.1.8 Your booking is for the purposes of dog exercise only, no barbeques, alcohol etc are permitted in the fields.
7.1.9 Paw Paddock do not allow anyone to operate or release any high-flying object (including a drone), or permit this, while using the field.
7.1.10 Please ensure you are abide to the local bi-laws, you can refer to the relevant local authority website.
7.2 Etiquette before you arrive at WDF
7.2.1 Do not bring your dog to the field if they are or have been unwell in the last 48 hours or your vet has advised to not exercise or socialise with others. Doing so could be harmful to your dog(s) and other dog(s).
7.2.2 If your dog is unwell in the field, you must clean up all mess and make sure that the paddock is left clean for the next user. If there isn’t a way to clear up this mess then please contact dogfields@walcotestate.co.uk or calling on 01780 740877.
7.2.3 If your dog has shown signs of Kennel Cough, Sickness or Diarrhoea in the past 72-hours, you should not visit under any circumstance.
7.2.4 Your dog(s) must be microchipped (this is a legal requirement pursuant to The Microchipping of Dogs (England) Regulations 2016).
7.2.5 Dogs must be regularly treated for flea, tick and worm prevention and be fully vaccinated.
7.2.6 Dogs under The Dangerous Dogs Act (1991) must comply with the following for use within our paddocks:
You must provide your Certificate of Exemption and a copy of your third-party public liability insurance via email once your booking is complete and prior to your session. Please email all necessary documents along with your booking reference to dogfields@walcotesatet.co.uk
The dog must be neutered in line with government rules.
The dog must be micro chipped.
The dog must be kept on a lead and muzzled until you have entered our secure parking area, entered the field and closed the gate behind you- you can then remove the lead and the muzzle.
The dog must be put back on a lead and muzzled before opening the gate to leave the field.
If you have more than 1 dog (with only 1 banned breed in your household), they can come to the field together, as long as they have a minimum of 1 handler. All dogs leads can be removed once in the field, including the banned breed dog, but it is preferred they remain muzzled.
If you have more than 1 banned breed dog in your household, they can come together but each banned breed dog must have its own handler (aged over 16).
If you visit the field with a banned breed dog and dogs from different households, the banned breed dog will need to remain muzzled and on a lead at all times with a minimum of 1 handler (aged over 16) per banned breed dog.
If any members of the public and their dogs are present in the area then the banned breed must remain on the lead and muzzled at all times.
The Landowner/WDF accepts no liability for the death of, or injury to, any person/dog or for damage to any property. We also accept no liability for any losses, claims, actions, damages, costs/expenses or other liability incurred by you during the use of the paddock.
8.0 Indemnity
As a customer of WDF, you agree to indemnify Paw Paddock and the Land Owner against any losses, claims, actions, damages etc arising from your use of the field and the behaviour of your dog both in and outside of the field including where a dog has bitten somebody or another dog.
9.0 Updates
9.1 Paw Paddock may need to vary these Terms and Conditions from time to time, so make sure to check back on our website frequently.
10.2 By making a booking, you agree to abide by the Terms and Conditions on the website at the time of making your booking.
10.3 WDF reserve the right to amend the Terms and Conditions between the time of the booking and your time slot, and if we do so they will contact you and provide the new Terms and Conditions. You have the right to cancel your booking once viewing the updated Terms and Conditions.
10.4 In the event of any inconsistency between the terms and conditions, the copy that are visible on the WDF website take precedence and they can only be updated in writing not verbally or in person.
10.0 Personal data
11.1 We require some of your personal data to allow you to book with us. This data collected is; First Name, Last Name, Contact Number, Postal Address and Email Address. This data is required to enable WDF to provide their service to the customers, to contact you in case of an emergency or changes to your booking and for record keeping relating to the use of fields. Your data is stored with the online booking system provider and 3rd party email platform.
11. Marketing and Publicaiton
11.1 We reserve the right to use any material, including text and images sent to us or via our social media pages for the purposes of marketing.
